Invite, change and remove team members
Open Team from the sidebar, then use the Invite button to add a member, click a row to edit their access, or use the menu to reset their password or remove them.

Invite a team member
- Open the Team Members tab and select Invite.
- Enter the person's Full name and Email.
- Select a Role preset. The member starts with all permissions in that preset. If you leave it empty, the member has no access until you assign a role later.
- Select Send invite.
If the email does not have an Omnikyo account yet, the system creates one with a temporary password, tries to send an invite email, and also shows the password once in a green box. Copy it and share it securely with the person as a backup — it will not be shown again. If the email already has an Omnikyo account, that account is added to your business and no password is shown.
The member is now on your team. You can edit their access, reset their password, or remove them from the Team Members table.
Good to know: Choosing a Role when inviting needs the Assign Permissions permission.
Your plan has a member limit. If you invite a member and hit the limit, Omnikyo blocks the invite and shows "You have reached your max team members limit for the current billing cycle." Remove a member or ask for a higher limit to add another.
Change what a member can do
- Open the Team Members tab.
- Click the member's row.
- The Access modal opens.
At the top is Start from a role — select any system or custom role preset to assign all its permissions at once. The description and permission count help you choose.
Below that is the access matrix: each row is a module (Orders, Products, Customers, etc.); columns are Can access page, Actions and Additional controls. Check or uncheck the boxes for this person.
Turn on a checkbox to grant the permission; turn it off to revoke it. When you turn on Actions for a module, the Additional controls that are "default on" automatically check themselves — you can still uncheck them if needed. Turning off Can access page clears all actions and controls below it.
Select Save changes when done. The member's access updates immediately; they do not need to sign out.
A member whose access differs from their assigned role (either you customized them, or you changed the role and they have overrides) gets a Custom badge in the Access column of the table. If they are assigned a preset but customized, you can reset them back to the exact preset permissions by selecting Reset to role in the modal.
Create a role preset
- Open the Role Presets tab.
- Select New role.
- Enter a Preset name (required) like "Sales Manager" or "Warehouse Staff".
- Enter a Description (optional) like "Manages orders and shipping" to remind you what this role is for.
- Check the boxes to grant permissions. Use the same read/write/delete columns as editing a member.
- Select Save changes.
The preset is now saved and appears in the Role Presets table. When you invite a new member or edit an existing one, you can assign this preset.
If you edit a preset, every member who is assigned to it (and not customized) automatically gets the new permissions. Members with custom overrides keep their overrides — the preset change does not affect them.
Edit or delete a role preset
- Open the Role Presets tab.
- Click a preset's row, or select its menu and choose Edit access.
For a custom preset, the access matrix opens. Edit the permissions and select Save changes.
For a system preset, the access matrix is read-only — you see the permissions but cannot change them.
To delete a custom preset:
- Open the Role Presets tab.
- Select the preset's menu and choose Delete role.
- Confirm: "Delete role preset? This permanently deletes <name>. Members using it must be reassigned."
A preset that is still assigned to any member cannot be deleted: Omnikyo shows "Cannot delete preset that is assigned to users. Reassign users first." Move those members to another role first, then delete it. System presets cannot be deleted.
Reset a member's password
Only the owner can reset a password.
- Open the Team Members tab.
- Select the member's menu (three dots) and choose Reset password.
- Confirm: "Reset password?" A new temporary password is generated.
- A modal shows the password. Copy it and share it securely — it will not be shown again.
You cannot reset your own password from this menu, and the owner's password cannot be reset here — use Settings › Profile and security › Password instead.
Remove a team member
- Open the Team Members tab.
- Select the member's menu and choose Remove member.
- Confirm: "Remove member? This permanently removes <name> from your business. They lose all access to your data."
The member is removed from your team and loses all access to your business. Their orders, customers and other business records are not deleted — you own the data. Their Omnikyo login itself is not deleted, so they keep any access they have to other businesses.
You cannot remove yourself, and you cannot remove the business owner.
If the member's phone was lost or stolen, also use Settings › Security › Team sign-ins to Sign out everywhere for that person on all their devices.
Questions people ask
What if I send an invite and they say they never got the email?
Omnikyo tries to send an invite email, but delivery can fail. For a new account the temporary password is also shown to you once, so you can share it directly. If it is lost, an owner can reset the password and share the new one.
Can a member change their own password?
Yes. Each member can change their own password from Settings › Profile and security › Password.
What happens if I delete a role preset that members are using?
You cannot delete a role while members are assigned to it. Reassign those members to another role first, then delete it.
Can I edit a system preset?
No. System presets are read-only. If you need to change them, create a custom preset with the permissions you want and assign members to that instead.
