Customers

The Customers page holds every customer who has made an order. You cannot add, edit, delete or tag customers from this page — they appear automatically when orders are created, and their details are updated when you edit orders. You can search them, read their history, and export a list.

The Customers list

Open Customers in the sidebar. You see a table with every customer who has ever placed an order. Each row shows the customer's name, phone number, email, city, a delivery record bar, and the date they first ordered.

The list is ordered newest customers first — the most recent first orders at the top. You cannot change the order.

At the top is a search box — type a name or phone number to find a customer. The search matches any part of the text (so typing 1712 finds 01712345678). Press Clear search to see the full list again, or clear the search box.

The page shows 50 customers per page. Use the buttons at the bottom to move between pages. Your selection clears when you go to another page.

Opening a customer's profile

Click any customer row, or press Enter if the row is highlighted, to open their profile. The profile is a tall panel that fills the screen on a phone.

The profile shows:

  • Their contact details (phone, email, address, city)
  • A Timeline of when they joined and when they last ordered
  • How they order (the sources they use: order form, storefront, etc.)
  • What they buy (the 5 products they have spent the most on)
  • Four numbers: Lifetime value (total they have spent across all orders), Orders (how many they have placed), Average order (lifetime value ÷ orders), and Delivered (the percentage of their orders that reached them)
  • Their delivery record — a ring showing the success rate of parcels sent to that phone number
  • A full list of their orders, newest first, with a button to load more

From the profile header, you can:

  • Press Call (if they have a phone) to call them (the link opens your phone app or dialer)
  • Press WhatsApp (if their phone is a valid Bangladeshi mobile number) to message them in WhatsApp
  • Press All orders to close the profile and search the Orders page for all their orders, any status

How customers are created and updated

Customers are never created manually — they appear automatically every time you create an order.

  • Dashboard order form: When you create an order and fill in a phone number, the form checks whether that phone already exists in your customers list. If it does, the customer is returning and their saved name, email, address and city are filled in automatically (you can change them). If the phone is new, the customer is new and any details you type are saved.
  • Editing an order: If you change a customer's phone, name, address, email or city on an order, the customer record is updated everywhere. If you change the phone to a number that already belongs to another customer, the order moves to that customer.
  • Storefront checkout: When someone places an order on your online store with a phone number, a new customer is created (if the phone is new) or the existing customer's details are updated.
  • Shopify: When Shopify sends you an order, a new customer is created from the shipping address (if the phone is new). Existing customers are not updated from Shopify orders.
  • Custom website (Connect): When a customer places an order on a website you connected, a new customer is created (if the phone is valid) or details are updated.
  • Bulk import: When you import orders from a spreadsheet, customers are created from the rows. Phones in the import are not normalised — so +8801712345678 and 01712345678 would be treated as two different customers.
  • POS (point-of-sale): When you record a sale without a phone number, it goes to a shared Walk-in Customer record (phone WALKIN).

The only way to change a customer's details is to edit an order linked to them. There is no customer edit screen, no merge feature, and no delete button.

The Walk-in Customer

When you record a point-of-sale sale without taking a phone number, the order goes to a customer named Walk-in Customer with the phone WALKIN. Every phone-free POS sale is linked to this one customer.

The Walk-in Customer appears in your customers list like any other. It has no delivery record (Pathao cannot look up the phone WALKIN). If you search your customers and see a customer called Walk-in Customer, that is where all your POS sales without a phone are grouped.

Who can see and change customers

Reading the customers list requires the page.customers permission. Without it, the Customers item does not appear in the sidebar.

Refreshing a customer's delivery record (clicking the refresh icon in the profile) requires the customers.edit permission. This is the only customer change enforced on the server.

The Team screen in Settings lists these toggles under the Customers module:

  • Create and edit customers — actually enforced only on order creation and edit (not on the Customers page itself, because there is no direct customer edit screen).
  • Delete customers — not enforced anywhere (there is no delete button).
  • Export customers — the Export CSV button does not check it (anyone who can open the Customers page can export).
  • Customer details (under the Orders module) — grants access to edit customer fields while creating or editing an order.

What you cannot do here

You cannot:

  • Add a customer directly (they appear only when an order is created)
  • Edit a customer's name, phone, email, address or city from this page (edit them through an order instead)
  • Delete a customer
  • Merge two customers with the same phone
  • Tag, note, flag or block a customer
  • Change the customer list order (it is always newest first)
