Shopify

Omnikyo brings your Shopify products into one place, syncs stock both ways, and receives orders your customers place on Shopify. Products and orders are matched by SKU, and Omnikyo is your source of truth for inventory.

What it is

The Shopify integration brings products, stock, and orders from your Shopify store into Omnikyo. Once connected:

  • Products are matched by SKU — Omnikyo reads your Shopify catalog, finds products with the same SKU in your Omnikyo store (or creates new ones), and updates them with Shopify's names, prices and images.
  • Omnikyo is your inventory source — Your inventory lives in Omnikyo. When you change stock in Omnikyo, you can publish it back to Shopify automatically, so customers see what is actually in stock.
  • Orders arrive in Omnikyo — Shopify sends each new order to Omnikyo via a webhook. The order carries the Shopify order number, the customer's details and what they bought.

Nothing flows backwards except stock (and only if you choose to publish it). Omnikyo does not push prices, collections, or images back to Shopify.

How it works

The three tabs

The Settings page has three tabs, visible once your store is connected.

Connection — Your Shopify store's domain and credentials. Shows the status of the link and when it was last checked.

Products and stock — Where you import products from Shopify and manage stock sync. Shows how many products are linked, and any that are waiting to publish.

Orders — The webhook address Shopify needs to send new orders. Also shows the secret Shopify uses to sign each message so Omnikyo knows it is genuine.

SKU matching

Omnikyo matches products from Shopify by SKU:

  • If a Shopify product's SKU matches a product you already have in Omnikyo, the Shopify product is linked to it and updated (name, price, image).
  • If there is no match, a new product is created in Omnikyo.
  • If a SKU is missing in Shopify, Omnikyo can optionally assign SKUs for you before importing.
  • The SKU match is exact and case-insensitive (SKU-001 matches sku-001).

Stock as your source of truth

Omnikyo keeps the source of truth for stock. When you publish stock to Shopify:

  • Omnikyo sends sellable stock (on hand minus reserved and damaged) from whichever Omnikyo location you choose.
  • Shopify's "available quantity" is overwritten with Omnikyo's number.
  • The next time you sync, Shopify shows what is actually in Omnikyo.

If you manually edit stock in Shopify, your next automatic or manual publish from Omnikyo will overwrite it. This only happens once — unless auto-sync is off.

Automatic stock publishing

You can set up automatic stock syncs. When enabled:

  • Every time stock changes at a location that is active and flagged "Shopify", the change is published to Shopify within a few minutes.
  • Every night at 02:30 (Dhaka time), all linked products are re-published to catch any drift.
  • If a publish fails, Omnikyo keeps trying for up to 7 days, then stops and alerts you.

Orders from Shopify

When a customer places an order on Shopify:

  1. Shopify sends the order to Omnikyo via a webhook (the address shown on the Orders tab).
  2. Omnikyo creates the order with Source "Website" and the Shopify order number (e.g., #1001).
  3. Stock is reserved; if there is not enough, the order is created on Hold.
  4. The customer's details (name, phone, address) are matched to a customer in Omnikyo by phone.

Shopify orders work like any other order in Omnikyo. You can edit, dispatch, process returns, and see them in reports.

Who can do it

  • Connect Shopify requires Integrations permission (page.settings.integrations). The first time, the settings page shows the setup steps. Verify the connection to test it.
  • Import or sync requires Sync Shopify permission (products.sync), which depends on Products (page.products).
  • See orders — Shopify orders appear on the Orders page like any other order — no extra permission needed.

Good to know: A business that is write-blocked (e.g., plan is full) cannot sync or change settings. Upgrade or renew your plan first.

Before you start

What you need on Shopify

  1. A custom app (in Shopify admin: Settings → Apps and sales channels → Develop apps) or a Dev Dashboard app that belongs to your organization.
  2. The app must have these permissions: Read products, Write inventory, and Read orders (in Shopify's terms).
  3. An Admin API access token (for custom apps) or Client ID and Client Secret (for Dev Dashboard apps).
  4. For orders, you will manually register a webhook in Shopify (Omnikyo gives you the address and secret).

What you need in Omnikyo

  1. At least one location that is active and flagged Shopify under "Fulfilment channels" (Settings → Locations).
  2. Products with SKUs so Shopify products can be matched.

How to set it up

  1. Go to Settings › Sales channels › Shopify.
  2. If the page shows setup steps, follow them:
    • Create the app in your Shopify admin and copy the token (or Client ID/Secret).
    • Paste it and your store address (your-store.myshopify.com).
    • Click Save — Omnikyo verifies the connection with Shopify.
  3. Once connected, import products using the Products and stock tab.
  4. Set up stock sync (automatic or manual) by choosing a Shopify location.
  5. Go to the Orders tab and copy the webhook address into Shopify (Settings → Notifications → Webhook → create one for orders/create).

Common situations

"Products aren't linked" warning

Some Shopify products have SKUs that do not match any product in Omnikyo when you see this message. Those products' stock will never publish to Shopify because Omnikyo cannot find them.

How to fix it:

  • Edit the SKU on the Omnikyo product to match the Shopify SKU exactly (case-insensitive).
  • Or run Sync products again to reimport from Shopify — Omnikyo will match by SKU and link them.
  • For products that truly do not exist in Omnikyo, the import will create them.

Publishing failed for 7 days

Stock publishes have failed repeatedly, and Omnikyo has given up trying. This usually means:

  • The Shopify location you chose was deleted or deactivated in Shopify.
  • Shopify's inventory scopes are missing from your app.
  • A network error kept happening.

How to fix it:

  • Check that your Shopify location still exists and is active.
  • Check that the app has inventory read/write permissions and is up to date in Shopify.
  • Click Sync stock and choose a different Shopify location or run a manual publish.

Stock was imported from Shopify

When you choose Import from Shopify, Omnikyo sets the on-hand stock at your chosen location to match Shopify's available quantity. This is a one-time action and never automatic.

After importing once, stock is yours to manage in Omnikyo. If you want to sync Shopify back to Omnikyo again, you must manually run the import a second time.

Questions people ask

Will importing duplicate my Shopify products?

No. Products are matched by SKU. If the SKU already exists in Omnikyo, the product is updated (name, price, image) but not duplicated. If the SKU is new, a product is created in Omnikyo. Re-importing always updates, never duplicates.

Does Omnikyo overwrite Shopify stock?

Only if you publish it. Stock starts in Omnikyo. When you manually sync or turn on automatic sync, Omnikyo publishes sellable stock to Shopify. If you do not sync, Shopify's stock is not touched.

Can stock flow from Shopify to Omnikyo automatically?

No, only manually. You can Import from Shopify once to overwrite Omnikyo's on-hand, but this is a one-time action. Regular automatic syncs are always Omnikyo → Shopify (publish), never Shopify → Omnikyo.

This keeps Omnikyo as your source of truth. If Shopify stock diverges (someone else edited it), you manage the difference deliberately.

Why does my Shopify order show source "Website"?

Shopify orders arrive via a webhook, just like orders from your own website or a third-party platform. In Omnikyo they are labeled Source "Website" to distinguish them from in-person (POS) sales. The Shopify order number is shown separately on the order, so you can always tell where it came from.

How do I disconnect Shopify?

There is no "Disconnect" button. To stop syncing:

  • To stop receiving orders: delete the webhook in Shopify.
  • To stop all syncing: go to the Connection tab and clear the credentials, then click Save. The connection will show "Not connected".
  • Or click Change connection and edit the domain or token, then Save.

When you reconnect later, the old products are still in Omnikyo and may have Shopify links — syncing will match them by SKU.

Do I need the webhook to sync products?

No. Products and stock are synced separately from orders. You can import products and sync stock without setting up the webhook for orders. But to receive orders from Shopify, you must register the webhook.
