Product status and archiving

Every product has a status: Active (sellable), Draft (hidden from your store), or Archived (kept for records, hidden everywhere).

Active

Active status means the product is sellable.

  • Shows in your online store
  • Appears in order forms when staff create orders
  • Customers can search for it and buy it
  • Shows in your products list with a green Active pill

Set a product to Active when it is ready to sell.

Draft

Draft status hides the product from customers, but staff can still see it.

  • Does not show on your store
  • Does not appear in order forms for staff
  • Does not show in customer search
  • Appears in your products list with an amber Draft pill
  • Appears in filters as a separate count

Use Draft for products you are still setting up, or for seasonal products you want to hide until later.

A new product starts as Draft by default. You must change it to Active before it can be sold.

Archived

Archived status hides the product everywhere, but keeps it for record-keeping.

  • Does not show on your store
  • Does not appear in order forms
  • Does not appear in customer search
  • Does not appear in the main products list (appears only when you filter by Archived status)
  • Appears in your order history — past orders keep the product name and price, even if the product is archived

Use Archived for:

  • Products you no longer sell and do not want to see in your list
  • Products you want to keep for historical records (past customer orders)
  • Products you tried but decided not to sell

You cannot delete a product if it is attached to a past order. Archive it instead.

Changing status

In the product editor, find the Status card at the top of the form. It shows a toggle with the current status.

  • Active / Draft — tap to switch between these two. Both are available on new products and existing products.
  • Archived — only appears when editing an existing product (or after the product is already archived). Tap to archive it.

To unarchive a product, filter the products list by Archived, open the product, and change Archived back to Active or Draft.

Changing status for many products at once

Open the products list, tick the checkboxes for the products you want to change, then tap Set status in the selection bar. Choose Set Active, Set Draft, or Archive.

Variant children (if the product has variants) inherit the parent's status.

What happens to stock and orders

Changing a product's status does not affect its stock quantities or past orders.

  • Stock stays the same. If you archive a product with 100 units in stock, those units are still recorded in Inventory. If you later unarchive and reactivate it, the stock is as you left it.
  • Orders are unaffected. Old orders keep their product information even if the product is later archived or deleted.

Why status, not delete

You might notice there is no Delete button for changing status.

Instead, Omnikyo uses status: Active (sell), Draft (hide temporarily), Archived (hide permanently but keep records). This design protects your history — you can always see what you sold, even if the product is no longer in your list.

If you want to delete a product entirely, that is a separate action available from the row menu or the editor overflow menu, and only works if no orders use that product.
