Set stock on a product
You set the number of units you have on hand for a product. Stock can be set in the product editor or on the Inventory page. If you have multiple locations, you set stock per location.
Where to find it: Sidebar › Products › open a product → Stock on hand field, or (if you have multiple locations) On hand by location card Who can do it: Anyone with the Edit products permission (owners, managers, and allowed staff).
Single location: Stock on hand
If you have only one location or are setting up a new product, you see a single Stock on hand field (or Starting stock on a new product).
Enter the number of units you currently have. The number must be 0 or higher, with no decimals.
When you save the product, that stock is recorded. The Available figure on the Inventory page is calculated as: On hand − Reserved − Damaged. If you don't set a cost, this stock counts towards your total stock value at zero cost.
Careful: Setting stock to 0 does not prevent orders, but it triggers a warning on the order form. Customers on your store cannot order when stock is 0.
Multiple locations: On hand by location
If you have 2 or more active locations, the stock editor changes.
In the product editor, you see a card titled On hand by location instead of a single stock field. One row appears for each active location — for example:
- Main warehouse (default)
- Dhaka pickup point
- Store 2
For each location, enter the number of units you have on hand. The field shows "N available" live as you type — this is On hand − Reserved − Damaged at that location. If the figure shows "—", the value is invalid (negative or non-numeric); fix it before saving.
At the bottom of the card, a Default badge shows which location is the default — the one chosen automatically when staff create an order, unless they pick a different one.
Below that: Transfer button (only visible if you have 2+ locations) and "View in Inventory" link.
Transfer stock between locations
If you have multiple locations, tap Transfer in the On hand by location card to open a transfer dialog. You can move units from one location to another without losing them.
Choose the source location, the destination, and how many units to move. The two locations' stock updates when you confirm.
Variant stock
Simple products set stock once (all variants share the stock, which does not apply here).
Variant products set stock per variant. On desktop, each variant row has its own Stock column. On a phone, each variant card expands to show its stock field.
For multi-location products, single-location variant stock is read-only. Tap the button to open a popover showing Stock by location for that variant — but to edit it, you must use the Inventory page.
New products with multiple locations
If you create a new product and you have 2+ locations, the stock fields are disabled with a message: "You have more than one location: create the product first, then set stock at each location here or on Inventory."
Save the product first, then return to edit it to set per-location stock.
Reserved, damaged and available stock
The product editor shows only On hand — the physical count you enter.
Reserved (units set aside for orders not yet dispatched) and Damaged (units held back from sale) are managed on the Inventory page, not here. They reduce what is available to sell.
Available = On hand − Reserved − Damaged
If available goes to 0 or below, the product shows "Out of stock" on your store and a red Available count in Inventory.
Changing stock after saving
You can edit stock any time you open the product for editing. Change the number and save.
For larger changes or to see the history of stock movements, use the Inventory page:
- Sidebar › Inventory
- Find the product by name or SKU
- Select Adjust on the row → choose Receive, Remove, or Set count
Stock and orders
When an order is created (online or manually), the stock is automatically Reserved — it is held for that order. When you mark the order Dispatched, the reserved stock is converted to Sold and removed from on-hand.
If an order is cancelled, the reserved stock is released back to available. If an order is returned, the stock is adjusted again.
You can also manually adjust stock on the Inventory page if customers return items or you discover a count error.
