The Media library

The Media library is a central place to upload, search and manage all photos and videos used on your store. Images are shrunk in your browser before upload and resized on delivery so they load fast for customers.

Page layout

The Media page has:

  • Top row: folder buttons for organizing files. All shows everything; General, Products, Logo, Hero, Banners, Icons show files in each folder. Each button has a count badge.
  • On medium screens and up: a stats line showing the total file count and storage used (e.g. "24 files · 12.5 MB used").
  • Search box and Upload button.
  • Grid: thumbnails of images, 2 columns on a phone up to 6 on wide screens. Each thumbnail shows the file name and size.

New uploads go into the folder you have selected (into General if you are on All). Folders created by the system for special uses (like collections for collection images) appear under All only.

On each tile, hover to show a copy link button (tooltip shows the image file name). Select a tile to add a blue ring and tick; a red Delete button appears in the toolbar showing how many files are selected.

At the bottom, a Load more button appears if there are more files to show (24 at a time).

Empty library: "No images yet" / "Upload images to get started" with an Upload Images button. If a search finds nothing: "No files match <term>" / "Try a different name or folder".

Upload images to your library

To upload on the Media page:

  1. Select the folder where files should go (or All to use General).
  2. Select Upload — a drop panel opens.
  3. Drop image files into the zone or select "or browse files" to pick them.
  4. Accepted formats: JPG, PNG, WebP, GIF, SVG, AVIF. Max 20 MB per file. Up to 10 files at a time.
  5. Files are shrunk in your browser before upload:
    • Files 1 MB or smaller are kept as-is.
    • Files 1 MB or larger (except SVG, GIF, WebP, AVIF, which are never touched):
      • Resized: longest side is capped at 4,096 pixels.
      • Quality reduced to 80%.
      • PNG files are converted to JPEG to save space (transparency is lost).
      • The shrunk file is only used if it is smaller than the original.
  6. Each file in the upload list shows a spinner (compressing/uploading), a tick (done) or a red dot (error). The panel closes and the grid refreshes when all files finish.

Files rejected by type or size (over 20 MB) are skipped silently with no message on this panel.

Upload in other places:

  • Product editor: Add photos button opens the media picker for uploads (up to 3 at once).
  • Collection image picker: same as above.
  • Store logo: same as above.
  • Meta Ads creative wizard: same as above (also accepts videos).
  • Paste: in any media picker, paste a screenshot or drag files into the modal.

Upload a video (Meta Ads)

Videos are accepted only in the Meta Ads creative wizard (when uploading ads).

  • Accepted formats: MP4, MOV (QuickTime), WebM.
  • Max size: 500 MB (much larger than images because they are not compressed).
  • Upload: videos upload directly from the browser with a progress bar (no compression). The upload goes straight to storage.
  • Alt text: not offered for videos (only photos).
  • On the Media page: videos cannot be uploaded using the page's upload panel. If a video is uploaded elsewhere and appears in the library, the grid may show an "Error" tile instead of a preview.

Search and sort files into folders

By folder:

Select a folder button (All, General, Products, Logo, Hero, Banners, Icons) to show only files in that folder. The count badge on each button updates. The folder you choose also controls where new uploads go (except All uploads into General).

By file name:

Use the Search files... box to find files by name (not by alt text or other metadata). Search happens 250 milliseconds after you stop typing, or immediately when you press Enter. Results show newest first. Changing the folder or search clears any selected tiles.

Organising files:

There is no drag-to-move or folder-assignment interface. Files are uploaded into their folder when created and stay there.

Folder buttons and search can be combined — for example, search "oils" in the Products folder to find product images matching that name.

Each image has a public URL so you can use it anywhere.

On the Media page:

  1. Hover over a tile to show the copy button (small icon).
  2. Select it. The icon turns green and shows a tick for 2 seconds to confirm the link was copied.

In a media picker (when choosing photos for a product, collection, or ad):

  1. Select the information icon on a tile to open the Details panel.
  2. Select Copy link. Toast shows "Copied".
  3. The link is now on your clipboard.

What the link looks like:

The URL points to your images on Cloudflare's network, resized to the size the page needs. For example: https://images.omnikyo.com/...?w=400&q=70. The link works as long as the file exists in your library. If you delete the image, the link breaks and any page using it shows a broken image.

You can share the link with anyone (it is read-only, public-facing). The link does not expire.

Delete images from your library

Single file:

On a tile, hover and select the trash icon. Confirm: Delete this file? — "will be permanently removed. Anywhere it's used (products, your store) will show a broken image." → Delete. Toast: "File deleted". The tile disappears immediately.

Multiple files:

  1. Select tiles to add a blue ring and tick on each.
  2. A red Delete button appears in the toolbar (showing the count). Select it.
  3. Confirm the deletion. The tiles disappear immediately.
  4. Toast: "n files deleted". All selected tiles disappear immediately.

If the server fails to delete a file (for example storage is unavailable), the tiles return and a toast shows: Delete failed — "The files could not be deleted."

Deleting removes the file from storage and the library. Omnikyo does not check or update places that use the link (products, your store sections, etc.). Any page still pointing at the deleted URL will show a broken image.

You must have the Create and edit products permission to delete media.

Add alt text to a photo

Alt text describes a photo for people using screen readers and helps search engines understand images. Max 200 characters.

In media pickers:

  1. Open a picker (e.g. Add photos in a product editor, or the Meta Ads wizard).
  2. Select the information icon on a photo tile to open details.
  3. Scroll to Alt text and type a description (e.g. "Olive oil in a glass bottle, 500 ml, green label").
  4. Select Save alt text when done.
  5. The alt text is now stored with the library file.

In the product editor:

  1. Open a product photo section.
  2. Find the photo and open its menu (the three dots or right-click).
  3. Select Add alt text or Edit alt text.
  4. Type a description (max 200 characters).
  5. The alt text is saved with the product (separate from the library file's alt text).

When you add a photo from the library to a product, the library's alt text is copied in. You can then edit it to be specific to that product.

Alt text from a product photo also appears to shoppers in the storefront's image preview and in search engines.

Choose photos with the media picker

Many screens let you pick photos using the media picker modal:

  • Add photos in a product editor.
  • Collection image in the collection editor.
  • Store logo in store settings.
  • Meta Ads creative wizard (photos and videos).

Picking photos in the modal:

  1. The modal shows a toolbar with search, and folder/type filters.
  2. The whole library is listed (folder filtering only affects where new uploads go).
  3. Click/tap a tile to pick it (a number appears showing your pick order). In single-pick mode, the tile is highlighted. In multi-pick, a circle and tick appear.
  4. When you pick enough files, the confirm button becomes active (Use photo, Add n photos, etc. — the label depends on the caller).
  5. Stacked thumbnails of picks appear in the footer (" picked").

Details panel:

  1. Select the information icon on a tile to open a side panel (or full screen on a phone with a back arrow).
  2. See the photo preview, size (width × height), file size (in bytes), date added.
  3. Select Pick this / Unpick to toggle it.
  4. Add or edit Alt text (photos only, max 200 characters), and select Save alt text.
  5. Select Copy link to copy the photo URL.
  6. Select Delete to remove from the library (confirms first).

Pick order and selection:

When picking many, the order you tap them is the order they are used (usually left-to-right on the page, or top-to-bottom on a product).

If you pick a photo that is already in use there, it is marked Added.

In some pickers, a limit appears: "Up to N at a time" or "Unpick one to choose another."

Uploading in media pickers:

The first tile is Upload. You can:

  • Drop files onto the modal overlay.
  • Paste a screenshot (Ctrl/Cmd+V).
  • Tap/click to browse files.

New files upload directly (up to 3 at once) and appear first in the list. Failed tiles show the reason with Retry and dismiss buttons. Toasts: "Couldn't add <name>" or "n files couldn't be added" (with reasons like "Larger than 20 MB").

Empty picker:

"Your library has no photos yet" / "Drop files here, paste a screenshot, or tap to upload."
