Choose \"Fulfil from\" on an order

When your business has 2 or more locations, you can pick which location supplies an order's stock. The selector shows Auto (default location) or a named location. Auto uses your channel routing rules and the default location. Once an order is created, you cannot change the location.

Before you start

The Fulfil from selector is only visible if your business has 2 or more active locations. With one location, stock always comes from that location and there is nothing to select.

On the POS form, the Fulfil from choice is remembered on the device, so the next POS order (quick sale) will default to your last choice.

Pick a location for the order

1. Open Orders and select New Order, or on a register select Quick sale.
2. Add items to the cart.
3. Below the cart, find Fulfil from. The selector shows:
   • Auto (default location) — use your channel routing rules and the default location (the backend will decide the exact location).
   • Location name — the specific location's name.
4. Select the location you want to use for this order.
5. The form shows each location's available stock (Available = on hand - reserved - unavailable) on the right. If the location you pick does not have enough stock, a warning appears below: Only N in stock or Out of stock.
6. Complete the order. The location choice is locked in when you create the order.

What "Auto (default location)" means

Selecting Auto (default location) tells Omnikyo to use the following priority:

1. Check if there is a channel routing rule for this order's source (Messenger, Instagram, Website, etc.).
2. Among active locations that serve the order's sales channel, pick the highest priority, then the default location, then the oldest.
3. As a final fallback, use the default location.

The exact location is chosen by the backend when the order is created, not shown before saving.

Why you cannot change the location after creation

The location is locked when you create an order because stock is reserved at that location. If you edit an order later and add new items, the new lines are added at the default location, not the original location.

To use a different location, cancel the order and create a new one.

POS: the location choice is remembered

On a register (POS quick sale), Omnikyo remembers your last Fulfil from choice on that device. The next time you open the form, it defaults to your last selection. You can change it at any time.

The device memory is not shared; each register or staff member on a different device has their own memory.

Stock warnings per location

If the location does not have enough stock:

• The form shows Only N in stock — you have N units available for this product at this location.
• Out of stock — the location has zero available.
• Below the warning: Ordering more than is in stock takes stock below zero, which is allowed. The order will go ahead; you will have negative stock if you complete it.

Questions people ask

Why does the selector only show some locations?

Only active locations appear in the selector. If a location is deactivated, it will not show. Inactive locations cannot be selected.

Can two order lines come from different locations?

No. All lines in a single order come from one location, chosen when the order is created.

Can I edit the fulfil from location on an existing order?

No. Once an order is created, the location is locked. New items added to the order go to the default location (they are added as separate new lines at the default). To change the location, cancel the order and create a new one.

What happens if I edit an order and add items?

New items are added at the default location, even if the order's original items were from a different location. This is why the Fulfil from selector is hidden while editing an order.
