How an order picks which location it uses
An order line draws stock from exactly one location, chosen at the moment the order is created using a four-step priority. The location depends on staff choice, routing rules, channel, location priority and the default location.

The four steps
When an order is created, Omnikyo picks one location in this order:
- Staff choice — If your business has 2 or more active locations, staff can select Fulfil from on the order form. If staff picks a location and that location serves the order's sales channel, that location is used.
- Channel routing rule — If a routing rule exists for the order's source (Messenger, Instagram, WhatsApp, Call, Offline, Website), and that location is active and serves the channel, use it.
- Highest priority eligible location — Among all active locations that serve this order's sales channel, use the one with the highest Fulfilment priority number. If two locations have the same priority, use the oldest.
- Default location — If no eligible location serves the channel, use the default location as a final fallback. This ensures an order is never blocked.
Once the order is created, the location cannot be changed. If you edit an order's items, the new lines are added at the default location.
What is a "channel" for location picking?
The channel depends on where the order comes from:
- Online — Website storefront orders (source: Website). Orders must be checked against all locations that serve Online, then stock is taken from the one that ranked highest by the four-step rule.
- POS — Point of sale orders. Must serve POS.
- Manual — All orders made in the dashboard: Messenger, Instagram, WhatsApp, Call, Offline, and manual orders. Must serve Manual.
- Shopify — Shopify orders do not use this priority; see below.
A location with a channel turned off is skipped in steps 1 to 3. Even in step 4 (fallback), if the default location does not serve the channel, the order uses the default anyway.
Shopify orders
Shopify orders do not run through location picking. They always use the default location, regardless of Fulfil from, routing rules, or channel settings. This is because Shopify orders originate from your Shopify store, not Omnikyo.
What stock does the order form show?
The order form compares the cart with the stock available at the location that will be used:
- With one location — The form shows that location's Available (On hand - Reserved - Unavailable).
- With 2+ locations and Fulfil from set to a specific location — The form shows that location's Available.
- With 2+ locations and Fulfil from set to Auto (default) — The form shows the combined Available across all active locations that serve this order's Manual channel.
- Website storefront orders — The checkout form shows the combined Available across all locations that serve Online, to avoid false "out of stock" messages for a single location. The actual stock is drawn from one location (the resolver). If that one location does not have enough, the order is refused.
Why an order took stock from the wrong location
Check:
- Is the location you expected the default, active, and serving the right channel?
- Is there a channel routing rule for this order's source?
- Did staff select a different location with Fulfil from?
- For Shopify orders: they always use the default location, not any other.
Questions people ask
Can I change the location an order uses after it is created?
No. The location is locked when the order is created. If you need to use a different location, cancel the order and create a new one, or delete the items and re-add them (new items go to the default location).
Why does the order form show less stock than I have in Inventory?
The form shows only the stock at the location being used for this order, not your total across all locations. Open Inventory and check the other locations.
Shopify orders always use the default?
Yes. Shopify orders come from your Shopify store integration and always draw from the default location. Routing rules do not apply.
