Why is my stock not changing when I create or dispatch an order?

Stock changes happen in two ways: automatically when an order moves through statuses, and by hand when you adjust. If stock is not changing:

  • When an order is placed, it reserves stock but does not take it from On hand yet. The Reserved column increases; Available drops (because Available = On hand − Reserved − Unavailable).
  • When an order moves to Dispatched, that is when the units leave On hand. The reserved units move to "shipped" in the system, so On hand goes down, Reserved goes back to zero for that order, and Available recalculates.
  • If you edit an order — add items, remove them, or change the location — the stock movement recalculates to the new state.

What is the difference between On hand and Available?

On hand is the physical count: units you have in the building. Available is what you can sell right now.

Available = On hand − Reserved − Unavailable.

Reserved units are promised to open orders that have not shipped yet. Unavailable units are damaged or held back. When you see a product with 50 On hand but only 30 Available, 20 units are either reserved to orders or damaged.

The Inventory page shows Available in the main table because that is the number that matters for new sales. Click a row to see the full breakdown by location.

What triggers a low-stock warning?

Low stock is a fixed threshold: any product with 1 to 5 units available. There is no setting to change it. The Low stock pill on the Inventory page counts all products in that range at the selected location.

Omnikyo sends no alerts or notifications when stock reaches low level. Use the Low stock filter to see which products need restocking.

Can I set reorder points or restock alerts?

No. Omnikyo does not have reorder points, restock alerts, or minimum quantity settings. Use the Low stock filter (1 to 5 units available) to spot products that need more stock, then create a reminder outside Omnikyo.

Do I need purchase orders to receive stock?

No. Omnikyo has no purchase order system. When new stock arrives, use Adjust > Receive to add it to On hand. You can add a note describing where it came from.

Can I track transfers between locations in transit?

No. When you transfer stock from one location to another, it moves immediately. Omnikyo does not track stock "in transit" or "pending transfer". The units are deducted from the source location and added to the destination right away.

If you need to hold stock as "reserved for transfer" before it is physically moved, use the Unavailable adjustment instead — temporarily mark the units as unavailable, then transfer and mark them available again.

Can I manage inventory for multiple shops?

Yes. Each shop, warehouse, or outlet is a location. Add locations in Settings > Locations. Every product has stock counts per location, and you can view one location at a time on the Inventory page.

When an order is placed, it is routed to one location. You choose the location when you manually create an order, or a routing rule chooses it for orders from Instagram, your website, or other channels. Locations do not share stock — an order draws from exactly one.
