Find and filter stock
Use search, filters and sort to find products, narrow to a stock state, switch locations and export URLs.
Where to find it: Sidebar › Inventory › search box and Filters button Who can do it: Anyone with the page.inventory permission.
Search by product name or SKU
- Open the Inventory page.
- On the right side of the toolbar, type a word or SKU in the search box.
- The table filters as you type, searching product names and SKU codes case-insensitively, matching partial strings.
- Search happens about 300 ms after you stop typing.
- To clear the search, delete the text.
When a stock filter is on (such as Out of stock), search runs only on products matching that filter, up to 5,000 products.
Switch locations
- Tap Filters.
- Under Location, select the location you want to view (visible only if you have 2 or more active locations).
- The page reloads. The Filters button label now shows the location name if it is not the default. All stock figures, adjustments and counts apply to the location you selected.
Each location has completely separate stock. Transferring stock from one location to another requires a Transfer action, which you reach from the ... menu on a product row.
Filter by stock state
- Tap Filters.
- Under Only show, toggle the conditions you want to see:
- Oversold — products with On hand below zero.
- Has unavailable units — products with damaged or held-back stock.
- Has reserved units — products where units are promised to open orders.
- Missing SKU — products with no SKU set.
- You can combine these filters. The page lists only products matching all of them.
- A badge on the Filters button counts how many filters are active (if it is above 0).
To reset all filters, tap Filters and select Reset all at the bottom. This clears product type, all "Only show" toggles and returns you to the default location (search is not cleared).
Filter by product type
- Tap Filters.
- Under Product type, choose All, Simple (single products), or Variants (products with options).
- The table updates immediately.
Sort the table
Click a column header to sort. Product, SKU, Available and On hand are sortable. Click again to reverse the sort order (A to Z or Z to A, low to high or high to low). The default sort is Product (A to Z).
When a stock-level filter is on (Out of stock, Low stock, or an "Only show" toggle), sorting by Product or SKU is replaced with sort by Available — the page prioritises showing you the stock states you asked for.
Use stock pills
Below the summary tiles are three pills: All · Out of stock · Low stock. These are quick shortcuts to the two most common filters.
- Tap Out of stock to show only products with zero or fewer available units.
- Tap Low stock to show only products with 1 to 5 available units (threshold 5 is fixed).
- Tap All to return to every product.
The pills also show how many products are in each state.
Show or hide columns
On desktop, next to the Filters button is a column menu (icon ⊟). Toggle which columns appear: SKU, Reserved, and Unavailable can be hidden. Product and Available are always shown.
On phones, the column menu is not available; products are shown as cards.
Page size and pagination
At the bottom of the table, choose 10, 20, 50 or 100 rows per page (default 20). The page indicator shows Page X of Y only when there is more than one page.
The page loads at most 30,000 stock rows per location. Large catalogues beyond that may show understated summary totals.
Deep links
The page reads and writes the address bar so you can bookmark or share a filtered view. The URL parameters are:
| Parameter | Values | Example |
|---|---|---|
q | Search text | ?q=shirt |
stock | all, out, low | ?stock=out |
type | all, simple, variant | ?type=variant |
has | Comma-separated: negative, unavailable, reserved, no_sku | ?has=negative,unavailable |
loc | Location ID | ?loc=5 |
sort | name, sku, on_hand, available | ?sort=available |
dir | asc, desc | ?dir=desc |
page | Page number | ?page=2 |
size | Rows per page: 10, 20, 50, 100 | ?size=50 |
For example, to bookmark oversold products sorted by available stock (lowest first): /dashboard/inventory?has=negative&sort=available&dir=asc
Questions people ask
If I sort by Available, why does the order sometimes change?
When a stock filter is active (like Out of stock or Has unavailable units), the page automatically sorts by Available regardless of the column you clicked. This keeps the stock states you asked for in focus. To sort by Product or SKU, clear the stock filter first.
Can I filter by price or category?
Not on the Inventory page. Filters are for stock states only. Use the All products list to filter by price, status, category or other product attributes, then find those products' stock on Inventory by name or SKU.
Can I save a filtered view?
You can bookmark the URL (copy it from the address bar after applying filters). The filters persist when you revisit the link. The bookmark saves the location, search, stock filter, product type and sort order.
What does "Oversold" mean?
Oversold products have On hand below zero — more units have shipped than were in stock. This happens when you take orders in advance or confirm dispatch with Proceed Anyway. Find and fix oversold products with Set count or by receiving more stock.
