Edit stock quantities in bulk
Edit stock quantities for multiple products at once in a spreadsheet-style grid, with one column per location.
Where to find it: Sidebar › Inventory › select rows › Edit quantities Who can do it: Owner or staff with the products.edit permission (the permission is called "Edit products"). Status: Stable.
Before you start
You can only open the bulk editor if you have at least one product selected. On the Inventory page, click the checkbox beside each product you want to edit, or:
- Click the checkbox in the table header to select all visible products on this page.
- Use the product type or stock filters in Filters to narrow the list first, then select.
The bulk editor shows only the products you selected. It does not include variant parents (only sellable products and variants).
Open the bulk editor
- On the Inventory page, select one or more products by clicking their checkboxes.
- A bar appears at the bottom showing the count, with a button Edit quantities.
- Click Edit quantities.
The bulk editor grid opens. Each row is a product or variant, and each column is a field. A Back button in the top left returns to Inventory and discards any unsaved changes.
The stock columns
With one active location, the grid shows Stock (on hand), Damaged and Available (read-only). With two or more active locations, the columns change:
- On hand (one per location, showing the location's code or name): how many units are physically there. Required, must be a whole number, cannot be negative.
- Available (one per location, read-only): calculated as On hand minus Reserved minus Damaged. Shows for the default location only.
- Damaged (one per location, hidden by default): how many units are held back from sale. Optional, must be a whole number if filled in, cannot be negative. Unhide in Columns if you need it.
- Total available (read-only, multi-location only): sum of Available across all locations.
A location's columns are grouped under Quantities by location. Use the Columns button to hide or show any of them.
Editing the grid
- Click a cell to type a number.
- Each column validation rule is shown as an error in the cell. Fix it before saving.
- Rows appear in the same order as on the Inventory page (default sort: product name A to Z). Scroll to move through the list.
- Type changes are live; use Undo (top left) to revert the last change, or Redo to redo.
- A number badge on the Back button shows how many cells have unsaved changes.
Saving changes
Click Save (bottom right) to write the changes. A Save button is shown only when there are unsaved edits.
- All changes are saved at once in one batch.
- Each cell is validated before saving. If any cell has an error (missing number, non-integer, negative), that cell's error message is shown and Save is disabled until the error is fixed.
- Success toast: Stock updated. The grid closes and Inventory reloads.
- If saving fails, the toast shows the reason. Try again after fixing the issue.
Bulk editor on a phone
On phones the bulk editor works the same way. Columns are narrower, and you scroll left and right to see all locations. A Columns option lets you hide columns that are taking up space.
Questions people ask
Can I set every product to the same number?
No. The bulk editor is for per-product edits. To change stock for many products to the same count, use Count stock on the Inventory page instead.
What if a product has stock at a location I don't see?
The bulk editor shows only active locations. If a product has stock at an inactive location, that column and its stock are hidden; the stock is not lost, but you cannot edit it here. Activate the location first in Settings › Locations if you need to change it.
Can I edit Reserved or Stock value?
No. Reserved and Total available are read-only because they are calculated from orders. Reserved units are reduced when you cancel an order or change its status. Edit On hand and Damaged only.
Can I see which cells changed?
No, the grid does not highlight changed cells. Use Undo and Redo (or the back button to discard all changes) if you need to revert.
