Negative stock and oversold products

Stock goes below zero when you ship more than you have. Omnikyo lets you do this, but warns you and your customers can see the shortage.

Why stock goes below zero

Negative stock happens when you create an order (or import one) for more units than you have in stock, then ship it. For example:

  • Product A has 10 units On hand.
  • You create an order for 15 units.
  • When you move the order to Dispatched, stock goes from 10 to −5.

Omnikyo allows this because:

  • You might have stock in transit that you know is coming.
  • You might take a pre-order and ship from the next batch.
  • A counted quantity might be wrong, and you need to correct it later with Set count rather than blocking the order.

Negative stock is permitted by the database, but you should fix it by receiving more stock with Receive or correcting the count with Set count.

How orders warn you about negative stock

When you are creating or editing an order and add a line with insufficient stock, Omnikyo shows warnings:

In the cart — A red N over stock label appears if the total cart quantity exceeds Available stock (tooltip: "Ordering more than is in stock takes stock below zero").

Per line — Each short line shows:

  • Out of stock — no Available units at all.
  • Only N in stock — you ordered more than the Available quantity.

Before shipping — When you move an order to Dispatched or Delivered, a Low Stock Warning dialog lists any lines that would go negative. You can click Cancel (do not ship yet) or Proceed Anyway (ship and accept negative stock).

All warnings show the location where the shortage is, if your business has multiple locations.

How the storefront blocks overselling

Your website storefront works differently: it blocks customers from ordering more than is in stock.

When a shopper adds items to their cart and tries to check out:

  • Omnikyo checks Available stock across all locations that sell online.
  • If the cart total exceeds Available for any item, checkout fails with the message: "Sorry — one or more items in your cart just went out of stock. Please review your cart and try again."

The customer must remove items or try again later. No negative stock is possible through the storefront.

Finding and fixing negative stock

Find oversold products by opening Inventory and using the Oversold filter to see products with On hand below 0. You can also sort by On hand to see negative quantities (they will be at the bottom as the lowest numbers). An order's Low Stock Warning also lists products that are about to go negative.

Fix negative stock by using Set count to correct the number if the previous count was wrong, Receive to add the incoming stock and bring On hand back up, or Remove to subtract the quantity if stock is permanently lost.

A product with negative stock still functions normally — orders can be created and shipped. But Available will be negative too, which blocks storefront orders.

Negative Inventory Report

The Negative Inventory Report lists all products whose Available (summed across all locations) is below 0. This is different from the Inventory page's Oversold filter, which only looks at one location at a time.

Questions people ask

Is negative stock bad?

Not necessarily. It means you have committed more units than are on shelf, which you must fulfill with incoming stock. If you expect stock to arrive, negative is fine temporarily. If stock is lost or you made a counting error, negative means you owe a customer or are short for a future order.

Can I set a quantity below zero by hand?

No. The Adjust form and Set count action prevent you from setting On hand below 0 yourself. Negative stock comes only from shipping orders. If you need to remove units without creating an order, use Remove (which also cannot go below 0).

Why did my storefront order fail?

Your cart had more of some item than you have in stock available (Available units, which is On hand minus Reserved). Remove the extra quantity from your cart and try again. Or wait if you expect stock to arrive soon.

Do I need zero negative stock?

No, but it is cleaner. If you have negative stock, fix it by:

  • Receiving the incoming stock you are expecting.
  • Correcting the count if the previous number was wrong.
  • Removing the quantity if it is lost.

The report shows which products are oversold so you can prioritize.
