Locations: warehouses and outlets

A location is a place where you store stock: a warehouse, retail outlet, or virtual point like a dropship supplier. Omnikyo tracks stock separately at each location and routes orders to draw from the right one.

What a location is

A location is one place where you store goods. When you create an account, Omnikyo makes your first location called Main location automatically. You add more locations when you:

  • Open a second warehouse or storeroom.
  • Start a retail shop or outlet.
  • Track dropship inventory separately.
  • Want to keep online and in-store stock apart.

Every business must have at least one location.

What stays the same with one location

If you run one warehouse and sell online, you do not need to think about locations. Omnikyo:

  • Tracks all stock in one place.
  • Uses that stock for all orders, no matter where they come from.
  • Shows that stock on the Inventory page.

There is no Locations section in order forms, no Transfer button, and no Channel routing card in Settings.

What changes when you add a second location

When you create a second location, Omnikyo makes several features available:

On the Inventory page: A Filters control appears. You can now pick which location's stock to view. The page remembers your choice until you switch.

On order forms: A Fulfil from selector appears. Staff can choose which location supplies the order, or leave it on Auto to let the system decide.

In products: The product editor's Inventory card shows On hand by location. You can set stock separately for each location.

In the bulk editor: When you edit product quantities in bulk, per-location columns appear.

In Settings: A Channel routing card appears. You can now tell Omnikyo: "Orders from the website should use warehouse A; POS sales should use warehouse B."

Stock is separate: A product with 10 units at Main location and 5 at a second location are two different piles. Orders use one or the other, not both.

Location types

Every location has a type, purely for your reference:

  • Warehouse: A storage facility (the default).
  • Outlet: A retail shop or pop-up store.
  • Virtual: A dropship supplier or third-party inventory you track but do not hold.

The type does not change how Omnikyo works; it is a label.

Location channels

Each location can serve one or more sales channels:

  • Online: Storefront orders.
  • POS: In-person sales at a till or register.
  • Shopify: Orders from your Shopify store (if connected).
  • Manual: Hand-entered orders in the dashboard, including chat and call orders.

When you create a location, all four channels are on by default. Turn off channels that do not apply. An outlet might have only POS on if it does not ship online orders.

The default location

Every business has exactly one default location. It is used when:

  • No specific location is chosen on an order (no Fulfil from picked).
  • The Inventory page opens (staff see its stock first).
  • A new order is created from a product page without choosing a location.

You can change the default anytime by opening Settings › Locations and clicking Set as default on a different location.

How orders pick a location

When an order comes in, Omnikyo picks a location to draw stock from in this order:

  1. If Fulfil from was chosen on the order form, use that location (if it is active and serves the order's channel).
  2. If there is a Channel routing rule for the order's source, use that location.
  3. Otherwise, pick the default location, or the next-highest-priority active location that serves the order's channel.
  4. If no location serves the channel, use the default anyway.

The result is that one order line draws stock from exactly one location. You cannot split an order across locations.

Inactive locations

When you turn off Active on a location, it:

  • Disappears from the Inventory page switcher.
  • Is not offered in the Fulfil from selector.
  • Does not participate in routing.
  • Keeps all its stock records and history.

Use this when you close a warehouse for renovation but plan to reopen it later. If you turn it back on, everything is the same.

Fulfilment priority

Each location has a priority number (default 0). When multiple locations can serve an order's channel and no Fulfil from was chosen:

  • The default location is checked first.
  • Then locations are checked by priority (highest first).
  • If two locations have the same priority, the oldest is used.

This helps route orders the way you want without picking a location on every order.

When you need multi-location

Add a second location if:

  • You have two physical warehouses and want to track stock separately, or prefer one as the main source.
  • You run a retail outlet and want to keep walk-in stock apart from mail order.
  • You use a dropship supplier and track their inventory in Omnikyo separately.
  • You want to test routing orders by channel or geography.

You do not need multi-location if all your stock is in one place or all locations draw from the same pool.

Questions people ask

Can I have three or more locations?

Yes. Add as many as you need.

Can a location serve no channels?

Yes, but it means orders will never automatically route to it. It is usually a mistake to turn off all four channels. Inactive locations are a better choice for temporarily unused spaces.

What if an order's location is deleted?

The order stays in your records. The location name is gone from that order, but the order history remains.

Can I move stock between locations?

Yes. Use Transfer stock between locations to move units from one location to another.
