Transfer stock between locations

Move on-hand units of a product from one location to another in a single operation.

Before you start

You need more than one location. If you have only one location, the Transfer option is not shown. You also need the permission to edit products.

A transfer moves On hand units. It does not move Reserved or Unavailable counts.

Transfer stock

  1. In Inventory, find the product.
  2. Open the ... menu on the row and select Transfer.
  3. A Transfer stock dialog opens:
    • From: choose the source location (or it is preselected if you are viewing a specific location).
    • To: choose the destination location.
    • Quantity: enter the number of units to transfer.
    • Note (optional): reason or reference for the transfer.
  4. Select Transfer.

The dialog closes. A toast says Stock transferred. The source location's On hand decreases; the destination location's On hand increases by the same amount immediately.

What gets recorded

Both locations see the transfer in their stock movements (history). In the history:

  • The source location shows Transfer out.
  • The destination location shows Transfer in.

Both entries carry the quantity and any note you added (the note defaults to "Stock transfer"). Reserved and Unavailable counts at each location are not affected.

No validation on source stock

Neither the form nor the system checks whether the source location has enough stock. It is your responsibility to verify before selecting Transfer. If you transfer more units than exist at the source, that location will have negative On hand. Use the Negative Inventory Report to find and correct any such issues.

Use cases

Example 1: Restock a store from a warehouse

  • Warehouse has 100 units on hand.
  • Store has 5 units on hand.
  • Transfer 30 from warehouse to store.
  • Warehouse now has 70; store now has 35.

Example 2: Consolidate stock

  • Location A has 10 units.
  • Location B has 15 units.
  • You decide to close Location A and move everything to Location B.
  • Transfer 10 from A to B.
  • A now has 0; B now has 25.

Transfer from the product details modal

You can also transfer from the product editor:

  1. Open the product in Products.
  2. In the On hand by location section, press Transfer (shown when there are at least two active locations).
  3. The same dialog opens.

Questions people ask

What if I transfer the wrong amount?

Transfer again with the correct amount. You can transfer units back from the destination to the source, or correct the counts individually using Adjust and choosing Set count.

Does transfer affect reserved stock?

No. If an order at the source location reserved 5 units, those 5 stay reserved at the source even after a transfer. The On hand decreases, but the order's reservation does not move with the transfer.

For example: Location A has 20 on hand, 5 reserved (15 available). You transfer 20 to Location B. Location A now has 0 on hand, but still shows 5 reserved — meaning 5 units in orders that originated there. This is unusual. To clean this up, use Set count to correct Location A to 0 (no ambiguity).

Can I transfer between locations if they are on different channels?

Yes. Transfers are allowed between any two locations of your business. Review your channel routing to make sure orders land at the right locations.
