Remove lost, stolen or written-off stock

When stock is lost, stolen or written off, use Remove to subtract it from On hand and record why.

Before you start

Remove is only for units you want to completely take off the books (lost, stolen, written off, or to correct a counting error). It does not bring units back into sale.

If units are damaged but might be repairable, or held back from sale, use Unavailable instead. Unavailable keeps the units in On hand but marks them as not for sale, so you can track them separately.

You cannot remove more units than On hand — the form blocks it and shows Only N on hand.

Remove stock

  1. Open the Inventory page (Sidebar › Products › Inventory).
  2. Find the product. Use search or filters if needed.
  3. On the product row, tap Adjust. A modal opens.
  4. Select Remove.
  5. Enter the quantity in Quantity removed. Whole numbers only. You cannot enter more than On hand; the form will show Only N on hand if you try.
  6. A Reason dropdown appears. Choose one:
    • Theft or loss — units were stolen or lost (default).
    • Correction — the count was wrong; you are correcting an inventory error.
    • Other — a reason not listed above.
  7. (Optional) In Note, add context: where units were lost, a reference number, or the date. You can type up to 500 characters.
  8. Below the fields, a before → after preview shows:
    • Old On hand (struck through) → new On hand (in amber or red, because it is going down)
    • Reserved and Unavailable stay the same
    • New Available (struck through old, new in amber or red)
  9. At the bottom, check the status message. If it shows Stock updated, you are ready.
  10. Tap Save. A toast Stock updated confirms the change. The row updates immediately.

If saving fails, the row rolls back and a toast Adjustment failed or Stock not changed appears. Check your connection and try again.

What is recorded in history

When you save a removal, an entry is written to the product's stock history:

  • Label: Adjustment (the same for all stock adjustments)
  • Note: Reason: Theft or loss (or Correction or Other, depending on what you chose), followed by your typed note if any
  • Who: your name, or System if the entry came from an order
  • When: the date and time
  • Location: the location where you removed the stock

You can view history from the ... menu on the Inventory page row, or from the product details (tap a row to open it).

Common situations

You find 5 units were damaged in shipping. These are repairable, so use Unavailable instead. If they are beyond repair, use Remove with Correction as the reason.

You discover an inventory count error: you recorded 100 but there are only 95. Use Remove and enter 5, with Correction as the reason. This brings the system count to match the actual shelf count.

Someone stole units from your warehouse. Use Remove with Theft or loss and add a note with the date and what happened. This creates a history record.

You write off old, unsellable stock. Use Remove with Other and note why (expiry, obsolete, unsellable). This clears the units from the active count.


Why can't I remove more than On hand?

Omnikyo prevents you from driving On hand below zero through manual adjustments. Negative stock only happens when orders ship (the system accepts it to allow over-selling). If you believe you have more units to remove, check your count first with Count stock, or ask your manager or accountant about the inventory discrepancy.

Questions people ask

What is the difference between Remove and Unavailable?

Remove takes units off the books completely. Unavailable keeps units in On hand but marks them as not for sale (damaged, held back). Use Remove when units are gone. Use Unavailable when units are still there but cannot be sold yet.

Can I remove stock from a location other than the default?

Yes. In the Adjust stock form, when you have 2 or more locations, a Location selector appears at the top. Choose the location where the stock was lost. The stock figures update to show that location.

What if I enter the wrong quantity?

Use Adjust again on the same product. Choose Remove and enter a correction — if you removed 10 but meant to remove 5, remove another 5 to undo it (or you can use Receive to add the units back). Alternatively, use Set count to fix it directly by typing the correct On hand number.

Can I export a list of removed stock?

Not directly. All removals are recorded in the product's stock history (visible from the ... menu on Inventory). You can also export a products report which may include historical stock data, depending on the report.

Will a removal affect the price the storefront shows?

No. Remove only changes On hand. Price is set in the product editor. The storefront stock display updates immediately, though.
